Has an employee’s work performance decreased to where they are no longer able to function adequately in their position? Or, has an employee failed a drug test? If yes, a Work Performance Referral (WPR) may be a useful resource for both managers and the employee. It is important to know who is responsible for WPR cases within your company - this may be someone in HR, Employee Relations, or Risk Management. Initiating a Work Performance Referral Be sure to have all information documented. The more information available to the MINES Case Management team, the better we are able to tailor the process to meet your company’s needs. Discuss work performance issue or failed drug test with your company’s WPR contact. At this point, it may be useful to contact a MINES Case Manager at (303) 832-1068 to consult about the situation and determine whether a WPR is appropriate. Meet with the employee (we recommend the company WPR contact be present as well), and explain why a Work Performance Referral is being made. Review documentation and complete the MINES WPR Letter. This must be signed by the employee as well as the company WPR contact. Give the employee a time frame to contact MINES and Associates. We recommend one business day as a reasonable time frame. Explain the consequences of choosing not to comply with the WPR process. By signing into the portal above you can complete this process completely online. MINES Case Manager: MINES will begin reporting compliance or noncompliance to the company WPR contact once the WPR Letter is received. Reporting will continue on a regular basis until the WPR is completed and it is determined that the employee has returned to a satisfactory level of performance. The particulars of the case will not be discussed unless there is a signed general release by the employee. Employee’s Manager/Supervisor: The supervisor should continue to monitor the employee on the job and keep the company WPR contact informed of progress and/or concerns.
